Job Description

Provide a full PA role to the Head of Organisation Effectiveness (“Head of OE”) and Leadership Effectiveness Facilitator (“LEF”) for Functions, to include: (70)

Full diary management
-
Trip arrangement including proactive liaison with the Head of OE and LEF to ensure that trips are optimised (e.g. in LE, to aim for each coachee receiving two face-to-face interactions)

Meeting and event management
-
Expenses claims submissions
-
Email management
-
Preparation of presentation/ report materials either ad hoc or to support particular programmes being run by the Head of OE/ LEF.

Any reasonable duties as requested by the Head of OE and LEF in support of their effective time utilisation and performance.

Maintain databases held within the team to ensure that they are accurate and up to date. These include, inter-alia: the Gallup Strengthfinder database, OD Community of Practice site, and the LE Team sharepoint site. (10)

Continuously improve the way that the team works through proactively identifying opportunities, securing agreement and implementing positive changes.

Contribute to excellent team working within the team and across other teams by building and maintaining relationships and seeking to nurture these as part of being a high performing team.

Qualifications & Skills
An experienced team PA with at least 3-5 years experience of supporting multiple managers in a very busy environment.
Knowledge:
Microsoft Office (Intermediate or Advanced)
Online expenses management systems and Peoplesoft an advantage
Personal qualities
Ability to work with people at all levels, particularly senior management.
Ability to work in a fast paced environment and to focus on several diverse areas at the same time
Be adept at looking ahead and planning diaries effectively and accurately
Must have excellent planning and organisational skills, with the ability to multi-task while remaining calm and professional.
Excellent communication skills.
Tactful and discreet, confidentially a must.
Pays attention to detail and has the ability to present information well.
Demonstrate initiative, flexibility and adaptability.
