Project Secretary **WEST Central Responsibilities:

Liaise with organization – Program Management Contacts, Program Advisor and Program Coordinator on planning and scheduling of program sessions.

Coordinate and schedule employees for training, administer attendance and updating of status. Coordinate with program Consultants (Internal/External) on program’s scheduling and attendee’s participations (groupings).
-
Liaise with training venues for the booking of training facilities, training room setup, managing logistics (e.g. LCD projectors, training props, materials, etc.) and payment.

Collate training data and analysis of training effectiveness evaluation and provide feedback/reports for management stewardship.
-
Coordinate/initiate training invitations and reminders to attendees scheduled for training sessions and ensure timely response from attendees.
-
Coordinate with department Staff Assistance on Manager’s availability (calendar booking) and manage schedules to facilitate program’s opening/group dialogue sessions.
-
Timely updating of Program Master Plan/Schedule, training records, participate in program Team Meetings, meeting minutes taking, and follow-up with actionees on working items.

Coordinate with vendors/suppliers for stationery, training materials (binders), props, etc. and arranging the delivery of such to training facilities to be securely stored.

Coordinate and track new/potential participants and liaise with Program Advisor and Program Coordinator on scheduling new/additional training sessions.

General day-to-day clerical and administrative tasks as assigned

Secondary support to site training administrator on course registrations for employees
-
Support in updating training records in the organization’s Learning Management System (LMS) – WebCAT
-
Secondary Site WebCAT Administrator providing back-filling support
-
Members of site OIMS 5.4 (Training) Network
-
Alternative resource in helping in collating and preparing compliance training stewardship reports as required
-
Assist in coordinating site training programs with other subject-matter-experts and setting up training sessions for target audience, as required
Requirements:
-
At least 3 to 5 years of working experience.
-
Preferably with a tertiary education in either IT, Mass Communications, Business Management or Event Management.
-
Experience in service industry, Human Resources, Training & Development or with some secretarial experiences.
-
Experience in coordinating events, training programs or interfaces with multiple parties.
-
Excellent communication skills, both verbal and written.
-
Able to work in a fast-paced and cross-functional/sites
-
