What to Include in Your Resignation Letter

  • Last day of employment: Indicate how much time you have left in your job. This is relative to the day you sent in your notice, or perhaps the period of time stipulated in your contract. This will help your employer plan for your departure, which includes hiring and training your replacement.
  • An expression of gratitude: Exercise professionalism by being thankful for the opportunity to work in the organisation.
  • Availability to assist in the transition: Offer to help during the turnover since this will convey how sincere you are with your thankfulness to the company. If you can be specific on how you can help, this is an added plus.
  • Contact information: Give your current information in case they need to get in touch with you for your last payroll or taxes. Details like your address, email, and mobile number will be enough.

Leave Out the Following From Your Resignation Letter

  • Negative feedback: To maintain good relationships with those you will leave behind, resist the temptation to say how dissatisfied you were at work.
  • Critique of the organisation: Even if you are feeling negative about the company, avoid criticising any of their procedures, products, or services in your resignation letter. Keep the focus of the letter about you and your departure from the company.
  • Being offered a higher salary: Even if this is true, this is an unnecessary detail to include in your resignation letter. If you want to use your resignation as leverage to receive a counteroffer, it is more prudent to discuss your plans with your boss before writing a resignation letter.
